Payhawk vs Spendesk (October 2026): spend platforms compared for DACH and EU teams

Updated · 11 min · by
Key takeaways
  • Verdict: Payhawk fits finance teams with many foreign suppliers, business travel and auditors who ask for SOC reports. Spendesk fits European mid-market teams that want unlimited users, published contract terms and a one-way DATEV export.
  • Where Payhawk leads: Payments to more than 150 countries in 115 currencies, FX from 0.3 percent, SOC 1 and SOC 2 Type 2 reports, IDW PS 880 and a two-way DATEV DUO link.
  • Where Spendesk leads: Unlimited cards and users in the base package, customer terms that are public, SSO included and a company that reports its first full profitable year.
  • The number that decides: 20 employees: only below it does Payhawk publish a price (149 pounds per month). Above it, both vendors quote, and neither shows an amount.
  • Check before choosing: Your DATEV setup and your works council. The two integrations work differently, and per-person spend data touches co-determination rules.

Payhawk and Spendesk both sell spend management to midsize European companies: company cards, reimbursements, supplier invoices and purchase requests in one system, priced by module and usage. Payhawk is headquartered in London with strong roots in Bulgaria. Spendesk is a Paris company. Buyers compare them because the feature lists look alike.

We read the pricing, security, privacy, terms and AI pages of both vendors in October 2026 and added independent reporting from TechCrunch and CFOtech. Neither company pays ai-toolfinder. Both belong to our expense management category with 70 tools. This page covers what each vendor publishes, where the two differ, and what to ask before you sign.

Payhawk or Spendesk: the verdict

Payhawk

Pick Payhawk if you pay suppliers in many countries or want business travel inside the platform. It also fits if your auditors need SOC 1, SOC 2 or IDW PS 880 reports and you want a two-way DATEV DUO link.

Spendesk

Pick Spendesk if many employees need cards without per-user fees, you want to read the customer terms before talking to sales, and you accept a one-way export into DATEV Rechnungswesen.

Pricing: Payhawk publishes one bundle, Spendesk publishes a structure

Payhawk publishes one price. The Growth Program costs 149 pounds per month for single-entity companies in the UK or the EEA with fewer than 20 employees. It includes 10 cards, 10 user seats (8 employee and 2 admin seats), up to 15 invoices and 15 reimbursements a month, AI data extraction and basic ERP integrations. It excludes procure-to-pay, multi-entity management and budget tracking. Our directory lists a 7-day trial for this bundle.

Larger companies build a quote from four core modules (Travel, Cards and Expenses, Bill Pay, Procure to Pay). A scalability layer then adds unit-based prices for cards, reimbursements, purchase orders and invoice processing, and optional add-ons sit on top. Payhawk's pricing page says it charges no flat setup or implementation fee and that customers can add capabilities or entities later. The amounts are not public.

Spendesk publishes no amounts at all. Its model has two parts: a fixed monthly fee for platform access and payment methods, and variable fees based on volume (card purchases, invoice payments, expense claims). Physical card orders, monthly card fees and active user accounts carry no fee. The base package, Foundations, includes unlimited physical and virtual cards, receipt capture, expense reimbursement, budget monitoring, multi-entity workflows, SSO and SAML, an open API and accounting integrations including DATEV.

Add-ons at Spendesk are Procurement, Accounts Payable, advanced workflows and policies, extended multi-entity management, HR and ERP integrations to more than 40 HRIS tools, and AI-based automation and fraud detection. All figures are as of October 2026, and both vendors can change them.

Contracts and fees: Spendesk shows its terms, Payhawk shows its FX markup

Spendesk's customer terms are public. A contract runs for an indefinite period unless the pricing terms set a fixed term, and fixed terms renew tacitly unless one month's notice is given. On an indefinite contract the customer can terminate with two months' notice. Spendesk can change the contract with two months' notice, and a customer who rejects a change may leave without charge. Liability is capped at the fees paid in the previous twelve months, except for gross negligence or fraud.

Payhawk names annual or multi-year agreements for its standard pricing but does not publish its general terms on the pricing page. Ask for the order form, the notice period and the rules for adding entities or cards mid-term. For a multi-year commitment, that detail matters more than the monthly figure.

Payhawk does publish its foreign exchange fee: the mid-market rate plus 0.3 percent for EUR, GBP, USD and CHF, and plus 0.7 percent for DKK and PLN. Spendesk does not state an FX markup on the pages we checked. If you pay many invoices in other currencies, request the FX terms in writing from both.

One structural point applies to both. Card and payment fees are only one cost. Count the add-ons you will need in year two (procurement, accounts payable, advanced workflows) and ask for the quote with them included, not as a later upsell.

AI: Payhawk's agents are broader on paper, Spendesk's are narrower and easier to verify

Payhawk introduced its AI agents on April 2, 2025 under the name AI Office of the CFO. The list on its homepage: Financial Controller Agent, Procurement Agent, Travel Agent, Implementation Agent, Payments Agent and Playbooks, which are prebuilt agentic workflows. In 2025 the Financial Controller Agent was in early access and the others were due in rolling releases. The vendor said it used early-access OpenAI models during development. Its pricing page lists AI agents as part of the platform.

Not everything is generally available. On March 2, 2026 Payhawk described an invoice retrieval function of the Financial Controller Agent, which downloads invoices from vendor portals after the employee logs in. It was in preview for selected customers, with general availability planned later in 2026 at no extra cost. Treat that function as a preview until your account manager confirms otherwise.

Spendesk names document reading, bookkeeping suggestions for VAT rates, accounts and analytical fields, and duplicate invoice detection by supplier, amount and date. It also lists anomaly detection including purchase order discrepancies, approval routing and two-way and three-way matching. Spendesk AI Connect lets you ask an AI assistant questions about live spend data in plain language. Suggestions are based on your own transaction history.

Spendesk states that 92 percent of invoices are auto-coded. That is a vendor figure for its customer base, not a guarantee for your chart of accounts, and we found no independent test. The packaging is also unclear: the AI page presents these functions as part of the platform, while the pricing page lists AI-based automation and fraud detection as an add-on. Ask which functions your quote includes.

Data location and audit reports: Frankfurt and SOC on one side, EU servers and ISO on the other

Payhawk's trust page states that data of German customers is stored in Frankfurt. All other EU and US customers are served from Brussels, on AWS and Google Cloud, with no replication to other jurisdictions. It lists ISO 27001, SOC 1 Type 2, SOC 2 Type 2, PCI DSS Level 1 and CSA STAR Level 1. It also lists IDW PS 880, the German auditing standard for accounting-related software. It also lists GDPR and DORA compliance, SAML 2.0 SSO, mandatory multi-factor authentication and penetration tests at least annually. Its data processing addendum is public and requires prior written consent for new subprocessors.

Spendesk's privacy policy says personal data is hosted on secure servers within the European Union. Its security page names ISO 27001:2022 and describes strong customer authentication under PSD2 and the four pillars of DORA. It names no SOC report. SSO is part of Foundations.

The subprocessor list is worth reading before an Article 28 GDPR check. Spendesk lists US providers such as Airbyte, Amplitude, Fivetran, Forest Admin and DataDog. It also names Anthropic Ireland's Claude Enterprise, an internal productivity assistant, with processing in the EU and the US. Its customer terms say Google processes OCR data in the EU or EEA with training disabled by default. For Payhawk we did not find a public subprocessor list on the pages we checked, so request it.

Regulatory status differs too. Payhawk's trust page says it is an electronic money institution (EMI) for the EEA and the UK and a Visa principal member. Spendesk Financial Services holds a French payment institution licence from the ACPR. For a German finance department this matters less than the audit trail, but your treasury team may ask which entity holds the funds.

Germany and DACH: two DATEV routes, and the works council question

Both vendors serve DATEV users, in different ways. Payhawk connects to DATEV Unternehmen online (DUO) and states that the connection runs both ways. DATEV master data such as suppliers, tax codes and cost centers flows into Payhawk, and payments, expenses and documents flow back. It became a DATEV Marktplatz interface partner in May 2024, building on DATEV's invoice data service. Its page warns that it cannot post into locked DATEV periods and that payment posting errors need manual correction in DATEV.

Spendesk exports to DATEV Rechnungswesen, the ledger software used by in-house accounting teams. Every transaction type arrives as a Buchungsstapel (a batch of postings) for your accountant to review and post. Setup requires a local agent on the server that runs DATEV Rechnungswesen. The flow is one way: Spendesk cannot create or change supplier records in DATEV. DUO is needed only if you want to attach receipts to the exported entries.

So the right question is which DATEV product your tax advisor or accounting team uses. DUO-centered firms and tax advisors with many small clients may prefer Payhawk's route. Companies with an in-house DATEV Rechnungswesen server may prefer Spendesk's batch export, if they accept the local agent. Test with a real month before you commit.

In a works council company, § 87 Abs. 1 Nr. 6 BetrVG gives the council co-determination over technical systems intended to monitor the behavior or performance of employees. A spend tool records who bought what and when, and AI anomaly flags point at individuals. Whether the law applies is a legal question for your counsel, but clarify it before rollout and plan for a works agreement. Both vendors offer a data processing agreement that supports the Article 28 GDPR contract.

Company stability and reach: a fast-growing London group, a profitable Paris scaleup

Payhawk became Bulgaria's first unicorn in February 2022. TechCrunch reported a 100 million dollar Series B extension led by Lightspeed Venture Partners at a valuation of 1 billion dollars, bringing total Series B funding to 212 million dollars. Its homepage now cites more than 6,000 companies and offices from London and New York to Berlin, Munich, Paris, Stockholm and Warsaw. It lists Bulgarian, Dutch, English, French, German and Spanish. We found no audited financials.

Spendesk says it serves more than 3,000 finance teams in more than 35 countries and offers its product and support in German, English, Spanish and French. CFOtech reported on March 25, 2026 that it had its first full year of profitability and more than 200,000 users, with a focus on firms of up to 1,000 employees. Spendesk's own figures for annual spend volume vary between pages, so we cite none.

For a multi-year contract both facts count. Payhawk's funding history shows investor backing and a broad product push. Spendesk's reported profit lowers the risk of a sudden change of course. Neither is a guarantee, and a supplier change always takes months.

Who should pick Payhawk and who Spendesk

Pick Payhawk if
  • You pay suppliers in many countries and currencies and want a published FX markup.
  • Business travel should be booked and paid inside the spend tool.
  • Your auditors ask for SOC 1, SOC 2 or IDW PS 880 reports.
  • Your accounting runs through DATEV DUO and you want a two-way link.
  • Your German entity's data must stay in Frankfurt.
Pick Spendesk if
  • Hundreds of employees need cards and you do not want to pay per user.
  • You want to read the customer terms, notice periods and liability cap before a sales call.
  • Your in-house accounting runs DATEV Rechnungswesen and a one-way batch export suffices.
  • Procurement and accounts payable matter more to you than travel.
  • You want to query spend data through an AI assistant with Spendesk AI Connect.

Payhawk vs Spendesk: frequently asked questions

Is Payhawk or Spendesk cheaper?

Neither publishes mid-market amounts, so no honest ranking exists. Payhawk lists 149 pounds per month for companies under 20 employees. Spendesk charges no per-user or monthly card fees, which favors firms with many cardholders. Ask both for a quote at the same volume and module scope.

Do both offer a free trial?

Our directory lists a 7-day trial for Payhawk's Growth Program, which is limited to companies under 20 employees. Spendesk's pricing page offers a free quote and states no trial. Confirm any trial in writing, because terms can change.

Which is better for German companies?

It depends on the requirement. Payhawk keeps German data in Frankfurt, has an IDW PS 880 audit and a two-way DATEV DUO link. Spendesk hosts data in the EU, offers German support and exports to DATEV Rechnungswesen. Check your works council and DATEV setup first.

Are the AI features included in the price?

Not clearly in either case. Payhawk's pricing page lists AI agents as part of the platform, but its invoice retrieval agent was a preview in March 2026. Spendesk lists AI-based automation and fraud detection as an add-on. Ask what your quote includes.

The bottom line

Write down four things: how many people need cards, which countries and currencies you pay in, which DATEV product your accounting uses, and what your auditor and works council require. Many cardholders, readable terms and a Rechnungswesen batch export point to Spendesk. International payments, travel, SOC reports and a DUO link point to Payhawk. Ask both for a written quote with the modules you will need in year two.
