What is PandaDoc?
PandaDoc is document automation software from a San Francisco-based vendor for sales teams and other departments that create, send and sign proposals, quotes and contracts. Its AI extracts contract data, searches documents and works inside Claude and ChatGPT.
PandaDoc covers a drag-and-drop document editor, templates and a content library, e-signatures including qualified electronic signatures, a quote builder, pricing tables and product catalogs, approval rules, payments through Stripe and other providers, and CRM integrations such as Salesforce and HubSpot. Contract lifecycle features in the Business and Enterprise plans add a contract repository, renewal notifications and data reports across all documents.
Plans run from a Free eSign plan with 60 documents a year through Starter and Business to Enterprise, so a single seller can start without an operations team. An EU instance is available with fewer features. PandaDoc Inc. is based in San Francisco.
PandaDoc AI features and use cases
- Extracts contract dataAI data extraction identifies the document type of new or uploaded contracts and pulls out effective dates, contract values, counterparty names, renewal terms and governing law into a data panel. The help center says it covers 122 system fields, so sales and legal teams skip manual data entry.
- Finds documents by their contentAI Search answers natural-language queries using extracted contract data, and a preview panel shows an AI summary without opening the document. The help center lists it for Starter, Business and Enterprise with a gradual rollout. Teams find the right agreement and build reports faster.
- Works inside AI assistantsThe Claude connector and the ChatGPT app connect PandaDoc to these assistants through MCP and are included in all plans for a limited time. Users draft documents, edit content and fields, manage recipients and send for signature from a chat, which saves switching tools for routine contracts.
What sets PandaDoc apart
- A separate EU instance is available on annual contracts, but it offers no AI features and supports only Salesforce, HubSpot and Dynamics 365 as integrations.
- Admins can switch AI processing on PandaDoc's own infrastructure and through third-party cloud providers on or off and manage AI training preferences.
- A Free eSign plan allows 60 documents a year with two recipients each, next to a 14-day trial of the paid features.
Where PandaDoc is strongest
PandaDoc Inc. is headquartered in San Francisco. The service runs on US servers, and customers in Europe can use a separate EU instance with a smaller feature set.
Questions to ask before you buy PandaDoc
Choose between the US and EU instance early, because accounts cannot be moved between regions and the EU instance lacks the AI features and most integrations. Single sign-on needs Enterprise or a paid add-on on Business. Several AI features are rolling out gradually, so confirm which ones your workspace gets. Ask for current security certificates and the DPA before signing.
