Planful vs Vena (October 2026): an independent comparison of two FP&A platforms

Updated · 12 min · by
Key takeaways
  • Verdict: Vena fits finance teams that want to keep Excel and Microsoft Teams as the working surface. Planful fits teams ready to move planning, close and consolidation into one web application with built-in anomaly alerts.
  • Where Planful leads: Five generally available assistants including Signals for continuous anomaly detection, ISO 27001:2022 and ISO 27701:2019 certificates, and a read-only MCP server that works with Claude today.
  • Where Vena leads: Excel as the interface, Vena Copilot included from the Professional plan, a published plan structure with three license types, and EU data residency named on its trust page.
  • The number that decides: 2 published plans at Vena against none at Planful. Neither vendor shows an amount, so the first quote decides the comparison.
  • Check before choosing: Where Planful's European instance UK01 stores data, whether either vendor will sign your data processing terms for OpenAI or Azure OpenAI, and what happens to AI features when the contract ends.

Planful and Vena both sell planning, consolidation and reporting software to midsize and larger finance teams, and they turn up on the same shortlists when spreadsheet budgeting stops scaling. The main design choice separates them. Planful runs as its own web application, while Vena keeps Microsoft Excel as the interface on top of a central database.

We compared them on October 1, 2026, using vendor pricing, AI, trust and privacy pages, press releases, funding coverage, the UK government's G-Cloud listings and the text of the EU AI Act. Read how we review for the method. ai-toolfinder is independent: neither vendor pays for placement and we earn no commission. Both tools sit in our budgeting and forecasting category, which currently lists 57 tools, 16 of them with a free trial. Neither Planful nor Vena states one.

Planful or Vena: the verdict

Planful

Pick Planful if your team is willing to leave Excel for a dedicated planning application, wants anomaly alerts on actuals without asking for them, needs ISO 27001 and ISO 27701 certificates for procurement, or plans to connect an outside AI assistant to planning data.

Vena

Pick Vena if your controllers live in Excel, your company runs Microsoft 365 and Teams, you want the AI assistant included in a named plan, or you need to choose the EU as the hosting region and document it.

Pricing and contracts: Vena shows the plan structure, Planful shows nothing

Neither vendor publishes an amount, and both tell visitors to talk to sales (as of October 2026). Vena at least describes what it sells on its pricing page. The Professional plan includes the Vena platform, a customer success manager, standard support, a customer portal and Vena Copilot. The Complete plan adds Vena Insights, premium support, a sandbox environment and expert managed services.

Vena licenses come in three user types: Power User, who owns and manages a financial model, Contributor, who enters plans and budgets, and View Only. Not for profit organizations and users of Microsoft Dynamics 365 Business Central may qualify for discounted pricing. If your ERP is Business Central, ask for that discount before the first quote arrives.

Planful has no pricing page. The address planful.com/pricing returned a not found error when we checked, and the home page only offers a demo. The website also does not say whether the AI assistants cost extra, so put that question first. Vena answers it publicly: Copilot is part of Professional and therefore of Complete too.

Two UK government G-Cloud listings for Vena, posted by the resellers Agilyx and CFMS, show how hard comparison is without a vendor price list. One lists a range of £280 to £2,000 per unit, the other £21,000 per user annually, and neither defines the unit. Both state that there is no free trial. Treat these as signals of a negotiated product, not as a price to budget with.

Neither vendor states contract length, renewal rules or price protection on its website. Ask for the initial term, automatic renewal, the cap on increases at renewal, the price of each user type, entity or data volume limits, and the cost of a sandbox in writing. Our directory counts 43 tools in this category that sell on request only, so quote-only pricing is common, though Vena's plan list gives buyers more to work with.

AI features: Planful watches the numbers, Vena works inside Excel and Teams

Planful's AI page lists five assistants as generally available. Planner builds a plan from existing accounts and assumptions and predicts individual lines. Analyst pulls the account-level details behind a variance and says whether the pattern is one-time or recurring. Help answers how-to questions from documentation. Projections builds a machine learning baseline, with an ALGO mode that selects the best-fit model. Signals scans actuals continuously, flags anomalies and suggests causes.

Planful names OpenAI as the model provider for Planner, Analyst and Help, combined with its own financial engine, and states that customer data is never used to train external models. A read-only MCP server lets outside assistants query planning data. As of October 2026 the page shows Claude as available and lists ChatGPT, Copilot and Gemini as coming next. Our earlier page named Claude, ChatGPT and Copilot as connected, and that was wrong.

Vena's AI runs through Vena Copilot. The Planning Agent generates budgets and forecasts in Excel from natural language, the Reporting Agent builds reports with drill-down to the underlying data, and the Analytics Agent produces variance and trend analysis. Vena names Microsoft Azure OpenAI Service as the model provider and says customer data is never used to train public AI models. Vena Copilot for Microsoft Teams has been generally available since May 2025.

The Scenario Agent is still listed as coming soon, so scenario modeling by chat is not something to count on yet. In July 2026 Vena also announced an agreement to buy Morpheo AI, the maker of the Omega context engine, and said it plans to fold the technology into Vena AI. The announcement named no financial terms and no release date for features, so we treat it as direction, not as product.

The two approaches suit different habits. Planful's Signals works without being asked, which helps teams that review actuals only at month end. Vena's agents answer inside the tools controllers already have open. Neither vendor publishes accuracy figures for its AI, so test both on your own ledger, as described in the last section.

Working surface and integrations: Excel on a database, or a web application

The decision most buyers underestimate is the interface. Vena keeps Excel as the front end while the data sits in its CubeFLEX database, so controllers can reuse formulas and layouts they already know. Planful asks users to learn a web application, in return for one environment covering planning, close, consolidation, reporting and workforce planning, with modules for marketing and sales teams.

Planful's integrations page names SAP, NetSuite, Oracle, Microsoft Dynamics 365, QuickBooks, Acumatica and Sage Intacct on the ERP side, Workday, ADP, Paylocity and SuccessFactors for HR data, Salesforce and HubSpot for CRM, and Snowflake, Redshift, Power BI, Tableau and Workiva. It supports flat file delivery too. The claim that most integrations are live in hours is a vendor statement we could not check.

Vena's home page lists connections to Salesforce, Microsoft Dynamics 365, NetSuite, SAP, Workday and QuickBooks through its database. Neither vendor labels how deep each connector goes, for example whether it only pulls actuals or also writes back. Ask for the exact connector for your ERP version and test that path, because a connector name on a list does not guarantee a field mapping that suits your chart of accounts.

There is a trade-off on each side. Vena's Excel front end can tempt teams to carry over a workbook with years of hidden logic, which makes the migration look faster than it is. Planful's web application forces a cleaner rebuild but costs more change management, because every budget owner needs training on a new interface.

Data, compliance and country fit: EU hosting at Vena, a UK instance at Planful

Vena's trust page says customers choose a Canada, United States or EU region for their Vena Hub. It describes AES 256-bit encryption of all customer data including backups, TLS 1.2 or stronger in transit, and optional SAML 2.0 single sign-on, multi-factor authentication and IP restriction. Vena states it maintains procedures for PIPEDA and GDPR compliance. A UK G-Cloud listing adds that customers can control storage within the UK and the European Economic Area.

The same page shows no data processing agreement, no list of subprocessors and no statement on Azure OpenAI hosting, and refers questions to its security office. Under Art. 28 GDPR a customer needs a written processing agreement with the vendor, so request it, the subprocessor list and the transfer mechanism before signing. Vena's trust page lists SOC 1 and SOC 2 Type II audits by Deloitte, a SOC 3 report, TRUSTe privacy certification and Cloud Security Alliance membership. It does not list an ISO 27001 certificate for Vena itself, only for the AWS and Azure data centers it runs on, which some European procurement teams treat as a gap.

Planful's trust portal lists ISO 27001:2022, ISO 27701:2019, SOC 1 Type 2, SOC 2 Type 2 and a HIPAA business associate addendum. Production instances run in the United States (16 or more), Canada (CAN01), Australia (AU01) and Europe or UK (UK01), plus separate US and EU environments for Planful for Marketing. The portal does not name the country behind UK01, so confirm the data center location in the contract.

Planful's privacy policy offers a data processing addendum with Standard Contractual Clauses on request from its data protection officer and says it has signed such clauses with subprocessors. It does not publish a subprocessor list. For both vendors, ask which entity hosts the OpenAI or Azure OpenAI processing and in which region, because planning data often contains salaries and headcount.

For the EU AI Act, planning and forecasting tools do not appear among the high-risk uses in Annex III, which names credit scoring of natural persons and life and health insurance pricing, among others. Neither vendor makes an AI Act statement we could find. German companies should still involve the works council early: § 87 Abs. 1 Nr. 6 BetrVG gives it a say over technical systems meant to monitor employee behavior or performance, and headcount planning with named employees can fall under it.

Company background and weaknesses: both are well funded, both have gaps

Vena is Toronto based. TechCrunch reported in April 2021 that Vista Equity Partners took a minority stake with a $242 million investment, when Vena had more than 900 customers. In April 2026 CIBC Innovation Banking arranged an expanded credit facility for the acquisition of Acterys, a Microsoft Power BI based planning platform, and described Vena as having passed $100 million in annual recurring revenue. Gartner placed Vena as a Niche Player in its 2026 Magic Quadrant for Financial Close and Consolidation Solutions.

Planful is Vector Capital backed. PE Hub reported its acquisition of Plannuh in September 2022. Planful's home page now cites more than 1,500 customers, and the company says Gartner named it a Challenger in the same 2026 Magic Quadrant. A Challenger in Gartner's scheme scores higher on ability to execute than on completeness of vision, so read the placement as a mixed signal. Planful also lists Consolidations Premium as coming soon.

The weaknesses we can source are these. Planful publishes no pricing, no plan structure, no subprocessor list, and its MCP server works with one assistant so far. Vena publishes no DPA or subprocessor list, holds no ISO 27001 certificate of its own on the trust page, offers no free trial according to the G-Cloud listings, and its Scenario Agent is not yet available.

We tried the major review sites for user-reported problems with each tool. They block automated access, so we could not quote them, and we left user ratings out instead of repeating them second hand. Ask both vendors for reference customers of your size and sector, and ask those customers what the first year after go-live looked like.

Switching and testing: how to run a fair evaluation

The fairest test is one slice of your real budget. Take one cost center with its templates, approval steps and the month-end variance comment, and ask both vendors to rebuild it. With Vena, watch how much of your existing workbook survives and how contributors enter numbers. With Planful, watch how long budget owners need to find their way around the web interface.

Then test the AI on your own numbers. Ask Planful's Analyst why operating expenses moved in a given month and compare the answer with what your controller would write. Ask Vena Copilot the same question in Teams. Neither vendor offers a free trial we could find, so request a sandbox or a paid proof of concept, and settle the data processing terms for OpenAI or Azure OpenAI before real salaries or supplier data go in.

For a migration from either tool, ask early how data leaves the platform. A UK G-Cloud listing says Vena customers can export data in CSV format and that all customer data is permanently deleted at contract end. We found no equivalent statement for Planful. Include export formats, the retention period after termination and help from the vendor during exit in the contract. Other tools in the field are listed under financial planning and controlling.

Who should pick Planful and who Vena

Pick Planful if
  • You want to retire spreadsheet planning and move the team into one web application for planning, close and consolidation.
  • You want continuous anomaly alerts on actuals rather than a variance review once a month.
  • Your procurement team requires ISO 27001 and ISO 27701 certificates from the vendor itself.
  • You want to test an outside AI assistant on planning data through the read-only MCP server, starting with Claude.
  • Your team is large enough to absorb training on a new interface.
Pick Vena if
  • Your controllers want to keep Excel models, formulas and layouts and share results in Microsoft Teams.
  • Your company runs Microsoft 365 and possibly Dynamics 365 Business Central, which Vena names for a discount.
  • You need to select the EU as the hosting region and have it documented on the vendor's trust page.
  • You want the AI assistant included in the plan you buy, not negotiated as an add-on.
  • You value a published plan structure with three clear license types for planning the rollout.

Planful vs Vena: frequently asked questions

Is Vena cheaper than Planful?

Neither vendor publishes amounts, so a public comparison is not possible. Vena names its two plans, their contents and its three license types, and offers discounts to nonprofits and Business Central users. Planful quotes each deal individually, so request written quotes for the same scope from both.

Does Vena work without Excel?

Vena is built around Excel as its main interface, with a central database behind it and collaboration in Microsoft Teams. Teams that want to leave Excel behind are the natural audience for Planful.

Which AI models do Planful and Vena use?

Planful names OpenAI for Planner, Analyst and Help and adds its own financial engine and machine learning models. Vena names Microsoft Azure OpenAI Service. Both say customer data is not used to train public or external models, but neither trust page lists the processing region.

Can Planful or Vena keep data in the EU?

Vena names the EU as a Vena Hub region on its trust page. Planful lists a European instance called UK01 without naming the country and runs a separate EU environment only for Planful for Marketing, so ask where your data will be stored.

The bottom line

Start with the question of Excel. If your controllers will not give it up, Vena is the better fit, and its named EU region and Copilot in the plan simplify procurement, provided you obtain the data processing terms in writing. If you want planning out of spreadsheets and value alerts that find anomalies on their own, Planful is the stronger candidate, provided its European instance and subprocessors satisfy your data protection review and the quote stays inside budget.
