QuickBooks Online vs Xero (October 2026): an independent comparison

Updated · 11 min · by
Key takeaways
  • Verdict: QuickBooks Online fits US small businesses that want a free entry plan, user-based tiers and AI checks inside the ledger. Xero fits businesses in the UK and Australia, firms with many outside accountants, and owners who want an AI assistant in every plan.
  • Where QuickBooks Online leads: A permanent free plan for one user, plan tiers that add inventory, project profitability and up to 25 users, and AI reconciliation help and report checks on Plus and above.
  • Where Xero leads: Lower US and UK list prices, the JAX assistant at no extra charge in every plan, more than 1,000 connected apps, and a published ISO/IEC 27001:2022 certificate with SOC 2 reports.
  • The number that decides: $340 against $97: the US monthly list price of the top plan at each vendor as of October 2026. The gap closes once you count payroll, payment fees and the AI tier you need.
  • Check before choosing: Which plan unlocks the AI feature you want, how long the introductory discount lasts, whether your country's edition has the same features, and who will export your data if you leave.

QuickBooks Online and Xero are the two cloud ledgers most small businesses shortlist first. Both handle invoicing, bills, bank feeds and reports in the browser, both bill monthly per company, and both have added AI to bank matching and bookkeeping checks. QuickBooks belongs to Intuit in California. Xero started in New Zealand, is listed on the Australian stock exchange and describes itself as the cloud accounting leader in New Zealand, Australia and the UK.

We compared them in October 2026 from the vendors' US and UK pricing pages, help articles, data processing terms and sub-processor lists, Intuit's annual report and results release, HMRC guidance on GOV.UK and independent reviews. ai-toolfinder is independent and paid by neither vendor. Both sit in our bookkeeping category, which lists 92 tools. 22 of them name the US among their strongest markets, only 5 name the UK, and 13 offer a free plan.

Pricing: Xero lists lower, QuickBooks starts free and prices by users

On its US pricing page in October 2026, QuickBooks Online lists a free plan for one user with two invoices a month, one bank connection and no accountant seat. The paid plans cost $38 per month for Simple Start, $85 for Essentials, $140 for Plus and $340 for Advanced. They step up by users: 1, 3, 5 and 25, with 2 accountant seats on the first three paid plans and 3 on Advanced. Plus adds budget planning, project profitability, inventory and 40 classes or locations. Advanced adds unlimited classes, custom KPIs, workflow automation, Excel sync and batch invoicing.

Xero's US plans cost $27 for Early, $59 for Growing and $97 for Established as of October 2026. Early allows 20 invoices and quotes and 5 bills a month with a 30-day cash flow forecast. Growing removes those caps, adds a 60-day forecast and three budgets, and Established adds a 180-day forecast, multi-currency, projects and expense claims. Our earlier records showed $25, $55 and $90, which are Xero's prices before its October 2026 increase. In the UK, Xero lists Ignite at £18, Grow at £39, Comprehensive at £55 and Ultimate at £70 per month, excluding VAT.

The pricing logic differs. QuickBooks charges for each person who needs a login, so a company with eight people in the books lands on Advanced. Xero's pricing pages do not cap users by plan, and NerdWallet's comparison names unlimited users as a reason to pick Xero. On the other hand, Xero limits invoice and bill volume on its cheapest plan and, in the UK, the number of people who can file expenses.

Contract terms: discounts end, payroll and payment fees come on top

Both vendors bill monthly and say you can cancel at any time. QuickBooks offers 30 days free on all paid plans and, when we checked, 50 percent off for 3 months. Xero's US page showed 80 percent off for the first 3 months plus one free month, and the UK page showed 90 percent off for the first 6 months for first-time customers. Xero's terms say the regular price then renews monthly until you cancel, and the discount excludes add-ons and usage fees. QuickBooks' page showed no end date for its promotion, so confirm it at checkout.

Neither headline price covers payroll. Xero's US page lists payroll through Gusto at $36 per month plus $6 per employee or contractor. QuickBooks' pricing page we read does not show payroll or payments prices at all, so ask for the full quote before you compare totals. Payment processing fees apply at both: Xero says standard ACH payments are included, other methods carry fees that discounts do not reduce.

Intuit's own results release says QuickBooks Online Accounting revenue grew 23 percent in fiscal 2026, driven by higher effective prices, customer growth and mix shift. Capterra reviewers rate QuickBooks Online 4.3 out of 5 across 8,535 reviews and name escalating subscription costs with frequent increases among the main criticisms. Budget for list prices to move on either side, since Xero's US prices also rose from October 2026.

AI features: QuickBooks gates agents by plan, Xero includes its assistant

Intuit groups its AI as Intuit Intelligence and its help center lists eight agents, among them Accounting AI, Payments AI, Sales Tax AI and Finance AI. Accounting AI sorts bank transactions into groups ready to post, matches payroll and bill payments, and can send a link that asks a customer or vendor for a missing receipt. Its help article lists Essentials, Plus, Advanced and Intuit Enterprise Suite as included plans, with reconciliation assistance and report insights, which flag unusual items in the balance sheet and profit and loss report, requiring Plus or higher. The marketing page labels Intuit Intelligence as beta, while the help article does not separate beta from released features, so check the label inside your account. Intuit's help overview also says individual AI features cannot be turned off one by one.

Xero's AI partner is JAX. Xero says JAX is available to all subscribers in all four UK plans at no extra charge, though it reserves the right to change that. JAX answers questions about income and profit with charts, drafts invoices from earlier quotes, and uses your data without training the language models behind it. Smart document capture reads uploaded bills and receipts in every plan. On the US Early plan, automatic reconciliation is a separate $5 per month add-on. Xero's sub-processor list names Anthropic and OpenAI for conversational AI, both in the United States.

Several Xero items are announced, not general: Xero's own results coverage describes XeroForce, a natural language agent builder, as in early testing, and July 2026 coverage lists planned VAT checking and bank statement extraction. We left those out of the comparison table. In practice both products now categorize and match bank lines. QuickBooks sells more of its checks as plan upgrades, while Xero sells the assistant to everyone and the automation as a plan or add-on feature.

Data hosting, security and privacy: US-based stacks for both

Xero publishes ISO/IEC 27001:2022 certification, SOC 2 audit reports and PCI DSS v4.0 compliance as a level 2 merchant on its security page. Its data processing terms promise a SOC 2 report to customers or their auditors, a Security Incident notice without undue delay, and EU Standard Contractual Clauses plus the UK Addendum for transfers. The sub-processor list names Amazon Web Services, Microsoft Azure, Google Cloud and Snowflake, all with United States as the location. The terms do not state a hosting region for customer data, so we cannot say your books stay in your country.

Intuit's QuickBooks Online data processing agreement for the US and Canada, effective January 13, 2025, says Intuit may transfer data wherever it operates and that payroll data stays in the US. For EEA and UK data it relies on the Data Privacy Framework or Standard Contractual Clauses. Intuit's privacy statement says it certifies to the EU-U.S., UK Extension and Swiss-U.S. Data Privacy Frameworks, and that it uses personal data to train AI models for recommendations and insights. Audit reports are available through Intuit's compliance portal. We could not load Intuit's security page, so we do not publish certificate names for QuickBooks.

On exit, Xero's terms say it keeps a copy of your data for 7 years after the contract ends before deletion or return. Intuit's Canadian help center describes one year of read-only access after cancellation, with export to Excel for reports and lists, and says reactivation resets the window. Ask Intuit whether the same period applies to your country. For EU and UK readers, the European Commission renewed its UK adequacy decision on December 19, 2025, valid until December 27, 2031, so EU data can still flow to a UK entity.

Country fit and tax rules: US sales tax, UK Making Tax Digital, Australia

Intuit's annual report states that international revenue was about 8 percent of consolidated revenue in fiscal 2026, so QuickBooks remains a US product first. Xero's US page includes sales tax in every plan and W-9 and 1099 management in each plan. Intuit's help pages for AI agents mention editions for Australia, Canada, the UK, Singapore and South Africa, but do not say which agents each edition receives. Outside the US, confirm the AI features you want exist in your country's edition.

In the UK, HMRC's Making Tax Digital for Income Tax reaches sole traders and landlords with qualifying income above £50,000 from April 6, 2026, above £30,000 from April 6, 2027 and above £20,000 from April 6, 2028, according to GOV.UK. Xero calls itself HMRC recognised for VAT and Income Tax submissions in every UK plan. QuickBooks says its VAT software is available on Simple Start, Essentials, Plus and Advanced, and its Sole Trader Plus plan targets self-employed users. UK sole traders should also look at FreeAgent, covered in FreeAgent vs Xero.

For Australia, Xero is a home-market product, and the Motley Fool Australia reports its fiscal 2026 results with 4.92 million customers. QuickBooks lists an Australian edition with its own pricing, which we did not verify in AUD. For Germany, Austria and Switzerland, we found nothing on either vendor's pages about GoBD bookkeeping rules or DATEV export, and we did not verify them. Our directory lists local options such as DATEV and Lexware Office, compared in Lexware Office vs sevDesk.

Integrations, migration and leaving: Xero's app count is public, switching is a project

Xero states that more than 1,000 third-party apps connect through its App Store, naming Shopify, Stripe and HubSpot among them. Intuit runs its own app store, but the page would not load for us, so we cannot quote an app count for QuickBooks. Both let accountants in at no extra seat charge: Xero says so on its pages, and QuickBooks includes 2 or 3 accountant seats by plan. Check your must-have integrations, such as your payroll, e-commerce or expense tool, in each store before you decide.

Moving from Xero to QuickBooks, Intuit points to its conversion partner Dataswitcher. Intuit's Australian help article says a typical transfer takes about an hour and up to 24 hours, needs a new QuickBooks account with no data, and does not carry budgets, payroll records, projects, attachments, quotes or multicurrency settings. Moving the other way, Xero's App Store lists third-party conversion apps. One of them, MMC Convert, says it moves contacts, invoices, bills, attachments, employee records and QuickBooks classes, which become Xero tracking categories, usually in under 2 hours, with the price shown during setup.

Whichever direction you move, reconcile all bank accounts first, compare the balance sheet, profit and loss report and trial balance between old and new, and keep your old file read-only for the audit period. Expect an accountant to charge for the clean-up. Weaknesses you should weigh: Capterra reviewers of QuickBooks cite glitches, slow load times and limited customization on lower plans, and reviewers of Xero cite thin advanced reporting, email-only support and Stripe fees of 2.9 to 4.4 percent. Those are user opinions, not vendor statements.

  • You want to start on a free plan with one user before paying anything.
  • You need inventory, project profitability or up to 25 users on one subscription.
  • You want AI reconciliation help and report checks, and you are ready to pay for Plus.

  • You want the lowest list price and do not need a free plan.

QuickBooks Online vs Xero: frequently asked questions

Is QuickBooks Online cheaper than Xero?

Not at list price. In the US, QuickBooks starts at $38 per month and Xero at $27, and the top plans are $340 against $97 as of October 2026. QuickBooks has a free plan for one user that Xero does not. Add payroll and payment fees before you compare totals.

Which has better AI, QuickBooks Online or Xero?

They cover similar ground: both categorize and match bank lines. QuickBooks adds reconciliation help and report checks from Plus, and Intuit labels Intuit Intelligence as beta on its marketing page. Xero includes JAX in every plan and says it does not train language models on customer data.

Does either vendor offer EU data hosting?

We found no statement of an EU hosting region from either vendor. Xero's sub-processor list names US cloud providers, and Intuit says it may process data wherever it operates. Both rely on Standard Contractual Clauses or, for Intuit, the Data Privacy Framework for transfers.

Can I switch between QuickBooks Online and Xero?

Yes, with conversion tools. Intuit uses Dataswitcher and requires an empty QuickBooks account, and Xero's App Store lists third-party converters. Payroll, attachments and budgets may not carry over, so reconcile your bank accounts first and compare reports afterward.

The bottom line

Start with your country and your bookkeeper. In the US, QuickBooks Online's free plan and user tiers suit a small team that will grow into inventory or projects, and NerdWallet rates it stronger for close work with a bookkeeper. Budget for payroll, payments and the AI plan you need. In the UK and Australia, Xero's lower list price, included assistant, MTD support and large app store make it the safer first choice. Neither vendor names an EU hosting region, so DACH companies should compare local tools before choosing either. Run each 30-day trial or free month with your own bank lines before you commit.
