US businesses that want an accountant-friendly ledger with AI categorization look at QuickBooks Online first, and Zoho Books when price per user matters. UK sole traders and limited companies with a NatWest, RBS, Ulster Bank or Mettle account can run FreeAgent at no charge. German companies need a local tool such as Lexware Office.
- Xero raised UK prices on September 1, 2026 and raises US prices on October 1, 2026: Growing goes from $55 to $59 a month.
- The US multi-organization discount is being phased out from October 1, 2026, which hits bookkeepers and owners with several entities.
- The entry plans are capped: Early allows 20 invoices and 5 bills a month in the US, Ignite 20 invoices and 10 bills in the UK.
- Xero includes unlimited users on every plan, while QuickBooks Online ties users to the plan, from 1 on Simple Start to 25 on Advanced.
- Xero's subprocessor list names AWS, Google Cloud, Microsoft Azure and Snowflake, each with the United States as location.
Xero is cloud accounting for small businesses that work closely with an outside accountant. It started in New Zealand, is strongest in Australia, New Zealand and the United Kingdom, and prices its plans per organization rather than per user. That model is why many owners pick it: the whole team and the accountant can log in without extra seat fees.
The reasons to look elsewhere have little to do with the ledger itself. In 2026 Xero changed prices in several countries, is removing a discount that multi-entity customers relied on, and keeps its cheapest plans tightly capped. This page sorts the alternatives by the situation that triggers the search, shows list prices we read on the vendors' own pages on September 26, 2026, and ends with a plan for moving the books without losing a year of history.
Shortlist: which Xero alternative fits which situation
QuickBooks OnlineFits US businesses whose accountant already works in QuickBooks. Plans run from $38 for 1 user to $340 for 25 users a month, and AI features such as anomaly detection and reconciliation checks are tied to Plus and Advanced.
FreeAgentFits UK sole traders, partnerships and limited companies. It costs £19, £27 or £33 a month excluding VAT by business type, and nothing at all with a NatWest, Royal Bank of Scotland, Ulster Bank or Mettle business account.
Zoho BooksFits cost-conscious teams that need several users. The US free plan covers businesses with up to $50K revenue a year, and paid plans start at $15 a month billed annually for 3 users.
DigitsFits US startups that want AI bookkeeping and reconciliation running continuously. Essentials costs $65 and Core $100 a month with no setup fee, but Digits serves US entities only and its Pro plan is still marked coming soon.
Lexware OfficeFits small companies in Germany, where Xero sells no local edition. The L plan at €21.90 a month plus VAT covers bookkeeping, the German cash basis profit statement (EÜR) and VAT returns, cancelable monthly.
Why Xero customers compare in 2026: prices, discounts and caps
Xero announced on its US pricing update page that subscription prices change for new and existing US customers from October 1, 2026. Early moves from $25 to $27 a month, Growing from $55 to $59 and Established from $90 to $97. Xero explains the step with product investment over the past year. Existing promo codes keep running until they expire.
The same page says the multi-organization discount will be phased out from that date and no longer applied to eligible subscriptions. For an owner with a holding company and two operating companies, or a bookkeeper who pays for client files, this is the larger change. Every entity then pays the full list price.
In the United Kingdom the increase came one month earlier. According to a summary by the accounting firm Whitley Stimpson, based on Xero's notice, Ignite rose from £16 to £18, Grow from £37 to £39, Comprehensive from £50 to £55 and Ultimate from £65 to £70 on September 1, 2026, all excluding VAT. The UK pricing page now shows exactly the new figures.
The caps on the entry plans cause the second wave of searches. Early in the US covers quotes, 20 invoices and 5 bills a month. Ignite in the UK covers 20 invoices and 10 bills, and automatic reconciliation costs £3.50 a month extra on that plan. A trade business that sends 30 invoices in a busy month has to move up a tier, which in the US means Growing at $59 from October.

The right alternative depends on country, accountant and entity count
Accounting software is local in a way that most business software is not. Tax forms, charts of accounts, bank feeds and the accountant's own tools differ by country, so the first filter is where the company files its taxes. The second is which system the outside accountant prefers, because an owner who switches alone often pays for the accountant's extra hours.
In the United States, QuickBooks Online is the obvious comparison. Intuit sells it in five tiers: a free plan for 1 user and 2 invoices a month, Simple Start at $38, Essentials at $85, Plus at $140 and Advanced at $340 a month. Users are counted: 1 on Simple Start, 3 on Essentials, 5 on Plus and 25 on Advanced, plus 2 or 3 accountant logins. New customers get 50 percent off for 3 months and a 30 day free trial, with no annual contract.
Zoho Books is the price alternative. Its US page lists a free plan for 1 user and 1 accountant as long as annual revenue stays under $50K, then Standard at $15, Professional at $40, Premium at $60, Elite at $120 and Ultimate at $240 a month with annual billing. Each tier includes a fixed number of users, from 3 to 15, and extra users cost $2.50 to $3 a month.
Digits is a newer US option built around continuous AI bookkeeping. It charges $65 for Essentials and $100 for Core per business and month, with a 30 day trial and no setup fee. Two limits matter: the service is for US entities only, and each business needs its own subscription, so it does not solve the multi-entity cost problem.
In the UK, FreeAgent targets the same small business segment as Xero. It prices by legal form, not by feature tier, and becomes free for as long as the company banks with NatWest, Royal Bank of Scotland, Ulster Bank or Mettle. The decision tree below turns these facts into four questions.

Seat counts decide the monthly bill more than features do
Xero and QuickBooks Online look similar on a feature list, but they charge in different ways. Xero sells every plan with unlimited users. QuickBooks Online and Zoho Books include a set number of users per tier. For a business with one owner and a bookkeeper, this hardly matters. For a company where sales, operations and two managers approve bills, it changes the price by a factor of two or more.
The calculator below uses only published US list prices in dollars per month on monthly billing, with Xero's prices from October 1, 2026. A QuickBooks tier appears only in the user range it covers. For Zoho Books Professional we add the published $3 a month for each user above the 5 included. Promotions are left out, because they end after 3 or 6 months.
Two things fall outside the calculation. Payroll is extra everywhere: Xero sells payroll powered by Gusto at $36 a month plus $6 per person, and the QuickBooks pricing page lists payroll separately. And multi-entity setups multiply every figure, since Xero, Digits and QuickBooks all charge per company file.

AI in the ledger: what JAX covers and where rivals differ
Xero's AI partner is called JAX. According to Xero, the chat is available to all subscribers at no additional charge. It answers questions about income and profit with charts and tables, explains trends and creates invoices from existing templates, and it only shows data that the user may already see. Automatic reconciliation is part of Grow and higher in the UK and costs £3.50 a month extra on Ignite.
QuickBooks Online spreads its AI across the tiers. The pricing page lists accounting AI and payments AI from Essentials, and reconciliation help, anomaly detection and profit and loss insights from Plus. Some items, such as scenario planning, are labeled beta. Digits takes the opposite approach and includes its AI bookkeeping and reconciliation in every plan.
FreeAgent's Smart Capture reads receipts and bills and matches them to bank transactions. Its pricing page includes 10 captures a month and sells unlimited captures for £5 a month. For a business that forwards 40 receipts a month, that add-on belongs in the comparison. Our review method explains why we list only features the vendor names as available today.
What our directory shows about bookkeeping tools
Our directory lists 92 tools for bookkeeping and receipt capture, Xero included. 36 of them offer a free trial and 13 a free plan, so testing before buying is the norm in this category rather than the exception. Prices on request are rare here: only 41 tools hide them, most of them built for larger finance teams.
The more telling split is by country. 13 tools in the category name Germany as a strong market, 22 the United States and 5 the United Kingdom. Few tools are strong in more than one of these markets, which matches what we found at the vendors: bookkeeping software follows national tax rules, and an alternative that works in Manchester may be useless in Munich.
For hosting, 22 tools state an EU or German hosting option, while Xero does not name one. The full list of bookkeeping tools shows every profile with its sources, and the wider accounting category adds accounts payable, receivables and close tools for teams that are outgrowing a small business ledger.

Security, hosting and a move without gaps
Xero states that it is certified to ISO/IEC 27001:2022 and produces SOC 2 reports from independent audits. Its published subprocessor list names Amazon Web Services, Google Cloud Platform, Microsoft Azure and Snowflake as cloud infrastructure providers, each listed with the United States as location. Companies that must keep financial records in a specific region should ask each finalist for the storage location in writing.
For German companies the hosting question comes with a second one. Xero runs no German website and publishes no German price list; in our check on September 26, 2026 the German address returned no page. Lexware Office, by contrast, sells four plans from €7.90 to €32.90 a month plus VAT, cancelable monthly, with a 30 day trial of the XL scope.
A clean move follows the fiscal calendar. Switch at the start of a financial year or quarter, so the opening balances in the new system match a closed period in Xero. Export the trial balance, the open invoices and bills, the fixed asset register and the contact lists, and keep Xero readable until the accountant has signed off the first period in the new tool.
Use the trial periods for a real test: QuickBooks and FreeAgent offer 30 days, Zoho Books 14 days. Book one real month in parallel and compare the bank reconciliation line by line. Only then cancel Xero, and note that Xero bills per organization, so every company file needs its own cancellation.
- Pick the cutover date
- Export from Xero
- Run one month in parallel
- Get the accountant's sign-off
- Cancel each organization
