How to choose AI accounts payable software (October 2026)
Accounts payable software handles supplier invoices from arrival to payment release. The AI reads invoices from PDF, email, paper scans or supplier portals without templates, often down to line items. It suggests GL account, cost center, tax code and approver, matches the invoice against purchase orders and goods receipts, and flags duplicates, missing mandatory details or signs of fraud such as changed bank details. Accountants handle the exceptions and release the payment.
Rossum captures invoice data with its own Aurora model in 276 languages, without templates. xSuite enriches invoice data with SAP master data and decides whether an invoice can post in the background. GetMyInvoices scores incoming invoices for manipulated bank details before approval. Medius prefills coding, tax codes and approvers for invoices without a purchase order. Stampli's AI, Billy, identifies the right approvers from past approvals, invoice data and company policy.
Check the ERP first. Tools built for SAP, DATEV, NetSuite or Dynamics differ widely in how deep the posting goes. E-invoices in XRechnung or ZUGFeRD should be processed as structured data, without a detour through text recognition. Invoice review, approval and archiving must meet GoBD and belong in your procedural documentation. Payment releases need four-eyes approval and a traceable audit trail. For larger companies, ask for a SOC 1 or ISAE 3402 report, the hosting region and the data processing agreement.
Questions about AI accounts payable software (October 2026)
What is three-way matching?
The invoice is compared with the purchase order and the goods receipt. Only if quantity, price and supplier agree across all three documents is the invoice cleared for payment. AI tools do this matching automatically and show only the deviations.
Do I still need OCR if suppliers send e-invoices?
For e-invoices in XRechnung or ZUGFeRD, the data is already in the file and can be read directly. Text recognition remains useful for paper, plain PDFs and invoices from abroad, which will keep arriving for years.
Can AI detect invoice fraud?
It can flag common patterns, such as changed bank details, invoices from unknown suppliers or duplicates with slightly altered numbers. A flagged invoice still needs a person who calls the supplier on a known number.
