What is DocuWare?
DocuWare is a document management and workflow platform with an invoice processing solution for accounts payable teams of all sizes. It reads invoices with machine learning and generative AI, routes them for approval and archives them in line with GoBD, in the cloud or on premises.
DocuWare's invoice processing captures paper and digital invoices, reads XML e-invoices such as XRechnung, ZUGFeRD, Factur-X, KSeF, FatturaPA and Facturae directly and routes them through approval workflows. More than 500 integrations include SAP, Oracle, Infor, DATEV, ADDISON, Dynamics 365 and QuickBooks. DocuWare Cloud runs on Microsoft Azure, with on-premises and hybrid options. The company is based in Germering, Germany, has been a fully owned but independently run subsidiary of Ricoh since 2019, and reports more than 20,000 customers, served with about 800 partners.
DocuWare AI features and use cases
- Reads invoices and learns from correctionsIntelligent Indexing uses machine learning to recognize supplier, amounts and line data and turn them into index fields. It remembers each document and every correction across the organization, so accuracy on recurring suppliers improves after a few invoices. It is included in all DocuWare Cloud licenses.
- Classifies documents and starts workflowsDocuWare IDP recognizes the document type of each incoming file, such as invoice, delivery note or contract, and starts the matching workflow directly. Accounts payable receives only invoices, already sorted.
- Extracts new fields with generative AIGenAI extraction lets users define fields and get structured results without training, can learn from existing DocuWare documents and index values, and feeds validation corrections into later training. New invoice layouts need less setup work.
- Reads handwriting and poor scansOCR and handwriting recognition extract data from degraded scans and handwritten notes, including positional data and tables. Paper invoices from smaller suppliers can go through the same process as digital ones.
What sets DocuWare apart
- Available as cloud, on premises or hybrid, and IDP can also run standalone through an API.
- Holds country approvals such as the French Plateforme Agréée and Italian ACN QC1, plus DATEV and SAP S/4HANA integration certifications.
- Sold and implemented mainly through a partner network of about 800 partners.
Where DocuWare is strongest
DocuWare is based in Germering near Munich, holds GoBD and IDW-based certification and has a DATEV-certified interface.
Questions to ask before you buy DocuWare
Pricing comes through a partner, so compare offers and ask what the IDP and GenAI extraction add to the base license. In the cloud, choose the EU or US privacy region; European IDP processing runs in a German data center of VSE NET. Ask for the data processing agreement and subprocessor list, which were not on the pages we checked. The vendor says data is anonymized before baseline model training, so confirm this fits your policy.

Questions about DocuWare
Is DocuWare invoice processing compliant with GoBD?
DocuWare lists a GoBD certification based on IDW standards on its compliance page, along with ISO/IEC 27001 and a SOC 2 Type 2 report. Your own procedural documentation still has to describe how the system is used.
Can DocuWare run on premises?
Yes. DocuWare is available as a cloud service on Microsoft Azure, on premises and as a hybrid setup. Intelligent Indexing is available both in the cloud and in your own data center.
Which e-invoice formats can DocuWare read?
The invoice solution reads XML formats such as XRechnung and ZUGFeRD from Germany, Factur-X from France, KSeF from Poland, FatturaPA from Italy and Facturae from Spain. Using the XML data directly avoids OCR errors on these invoices.
