What is Candis?
Candis is accounts payable software for small and midsize companies in Germany. It captures incoming invoices, suggests how to book them, routes them for approval and hands the result to DATEV or the ERP, with AI doing most of the reading and coding.
Candis covers the invoice path from receipt to export: capture, approval workflows, purchase requisitions, contract management, a GoBD compliant document archive with an immutable audit trail, plus expense reimbursement, travel expenses and corporate cards. It receives and validates XRechnung and ZUGFeRD e-invoices and keeps the XML as the leading record.
Direct connections exist for DATEV, SAP Business One, Microsoft Business Central and Sage 100, with file exports for Agenda, ADDISON and BMD and an open API. Candis GmbH is based in Berlin, was founded in 2015 and says more than 10,000 companies use the product. Pricing covers unlimited users, which suits finance teams with many approvers across departments. The user interface is available in German and English.
Candis AI features and use cases
- Reads incoming invoicesThe AI extracts vendor, amounts, dates and tax details from PDFs, scans and photos, including invoices with mixed VAT rates, thermal paper receipts and documents in Greek, Japanese or Cyrillic script. Accounts payable staff stop typing invoice data and only review what the AI could not read with confidence.
- Suggests how to book each invoiceAutomatic coding proposes GL account, cost center, tax code, a standardized posting text and the right approver, based on how the company booked earlier invoices. The suggestions improve with every confirmed booking, so the finance team spends less time on repetitive coding and gets more consistent entries for the tax advisor.
- Checks invoices for VAT complianceThe invoice review checks each invoice against the mandatory details required by Section 14 UStG and Section 33 UStDV, such as VAT ID, service period and address, and flags invoices that look fraudulent. Errors surface before payment and input VAT deduction, not during the tax audit. The feature is part of the Max plan.
- Links recurring costs and contractsContextual linking detects recurring transactions and subscriptions, tags related documents and connects invoices with payments and contracts, showing timing, duration and monthly cost. Controllers see which vendors bill regularly without building a list by hand.
What sets Candis apart
- Built around German requirements: DATEV interface, GoBD certification, VAT checks under Section 14 UStG and XRechnung and ZUGFeRD processing.
- Flat monthly plans priced by invoice or document volume with unlimited users and entities, published on the pricing page.
- Customer data is stored in Frankfurt, and Candis states that customer content is not used to train its AI, including across companies.
Where Candis is strongest
Candis is based in Berlin, stores data in Frankfurt and says more than 10,000 companies use it, with a product built around DATEV, GoBD and German VAT rules.
Questions to ask before you buy Candis
Check which plan you need, because AI invoice review and SAML single sign-on come only with Max and contracts run 12 to 36 months. Confirm the DATEV setup with your tax advisor or the ERP connection for SAP Business One, Business Central or Sage 100. Ask for the GoBD certificate and process documentation. The data processing agreement is published, and the help center lists the subprocessors, including AWS in Frankfurt and Google Cloud for the language model. Define approval rules with the four eyes principle.
