What is QuickBooks Online?

QuickBooks Online is Intuit's cloud accounting software for small and midsize businesses, covering bookkeeping, invoicing, bills and reporting, with a set of AI agents that categorize transactions, collect receipts and check the books for errors.

QuickBooks Online runs bookkeeping, bank feeds, invoicing, bill payment, sales tax and reporting in the browser, with plans from a limited free tier up to Advanced for 25 users. Intuit groups its AI under the name Intuit Intelligence and describes eight AI agents, among them Accounting AI, Payments AI, Finance AI, Sales Tax AI and Business Tax AI.

Intuit, the parent company, also sells TurboTax, Credit Karma and Mailchimp and reported $18.83 billion in revenue for fiscal year 2025. QuickBooks is offered in the US and a number of other countries, including Canada, the UK, France, India and Australia, but its AI help documentation is written for the US product.

QuickBooks Online AI features and use cases

  • Categorizes bank transactionsAccounting AI assigns categories, customers and vendors to incoming bank transactions and groups the items it is confident about under Ready to Post, where they can be reviewed and posted with one click. Payroll and bill payments are matched and posted automatically, which cuts routine bookkeeping.
  • Collects missing receiptsFor transactions that need more context, QuickBooks creates a shareable link to request a receipt or details. The AI checks that the right receipt was uploaded and that enough detail was provided, which saves the back and forth between business owner and bookkeeper.
  • Flags reconciliation issuesOn the Plus plan and above, AI support during bank reconciliation points out possible issues and explains how to fix them. Bookkeepers spend less time searching for the one entry that keeps the account from balancing.
  • Finds anomalies in reportsReport insights analyze the balance sheet and profit and loss report for signs of duplicate transactions, miscategorizations, aging receivables and payables or deferred income problems, with a root cause analysis. Intuit notes that not all accounts are supported yet.

What sets QuickBooks Online apart

  • AI scope rises with the plan: AI help with bank transactions on all plans, the Accounting AI agent from Essentials, AI reconciliation and report anomaly checks from Plus upward.
  • A permanent free plan exists for one user with two invoices per month, alongside paid plans priced per company with user limits.
  • Several features on the pricing page, including the AI chat and task delegation, were still labeled beta in September 2026 and are not counted here.
