Teams that need more than three logins save the most with Xero, which includes unlimited users on every plan, or with Zoho Books, which adds users for $2.50 to $3 a month. Digits suits US startups that want AI bookkeeping in every tier. UK businesses compare FreeAgent, and German companies need a local program instead.
- Since August 1, 2026, Intuit charges more for Essentials, Plus and Advanced at renewal; Free, Simple Start, Lite and Ledger kept their prices.
- The current list prices are $38, $85, $140 and $340 a month for Simple Start, Essentials, Plus and Advanced.
- Every QuickBooks Online tier caps the number of users: 1, 3, 5 or 25, plus accountant logins.
- Reconciliation help, anomaly detection and profit and loss insights start with Plus at $140 a month.
- New subscribers keep their starting price for six months; the higher price begins with the seventh invoice.
QuickBooks Online is Intuit's cloud ledger for small and midsize companies, and in the United States it is the default that many outside accountants expect. Its tiers bundle two things that other vendors sell separately: features and seats. A company that grows from three to six people with bookkeeping duties moves from Essentials to Advanced and pays four times as much, even if it needs none of the extra features.
That logic became more expensive in August 2026, when Intuit raised the prices of the three middle and upper tiers at renewal. This page explains what changed, which alternatives address which reason for leaving, and what a switch involves. All prices are list prices we read on the vendors' own pages on September 26, 2026, in US dollars unless noted.
Shortlist: which QuickBooks Online alternative fits which situation
XeroFits companies where many people approve bills or send invoices. Every plan includes unlimited users; from October 1, 2026 Growing costs $59 and Established $97 a month. Keep in mind that Xero is phasing out its multi-organization discount on the same date.
Zoho BooksFits budget-driven teams that still want several logins. Paid plans run from $15 to $240 a month on annual billing, each with 3 to 15 users included, and a free plan exists below $50K annual revenue.
DigitsFits venture-backed US startups that want AI bookkeeping and reconciliation without choosing a tier for it. Essentials is $65 and Core $100 a month per business, US entities only.
FreeAgentFits UK sole traders and small limited companies, priced by legal form at £19 to £33 a month excluding VAT, or free with a NatWest, RBS, Ulster Bank or Mettle business account.
August 2026: Intuit raised three tiers at renewal
Intuit published a product update stating that monthly subscription prices for QuickBooks Online Essentials, Plus and Advanced change for renewals on or after August 1, 2026. The notice itself gives no dollar figures. The pricing page now lists Essentials at $85, Plus at $140 and Advanced at $340 a month. QuickBooks Free, Lite, Ledger and Simple Start are not part of the change.
Intuit pairs the increase with additions to the top tier. According to the update, Advanced now includes Bill Pay Elite, which Intuit values at $540 a year, and industry tools for construction and professional services, valued at $900 a year. Those values are Intuit's own figures. A business that does not pay bills through QuickBooks or does not work in those industries gets nothing from them.
New customers are shielded for a while. The update says the price paid stays the same for the first six months of a subscription and the updated price starts with the seventh invoice. Promotions on the pricing page add 50 percent off for the first three months. A company that signs up today should calculate with the list price from month seven, not with the promotional figure it sees at checkout.
The table below lists the five tiers side by side with the seat limits and the AI features the pricing page assigns to them. Sort by price or by users to see where the steps fall.

Seats, not features, push most companies up a tier
Look at the step from Plus to Advanced. Plus covers 5 users for $140; the sixth user forces Advanced at $340, an extra $200 a month or $2,400 a year for one login. Below that, the jump from Essentials to Plus is $55 for two more seats. Many owners only notice this when a new office manager or project lead needs access to approve bills.
Accountant logins soften the problem only a little. Simple Start, Essentials and Plus each include 2 accountant logins and Advanced includes 3, so an outside bookkeeper does not use up a paid seat. The free plan includes no accountant access at all, which rules it out for any business that has its books kept by a firm.
The question below tests how well the price step is known. Most readers underestimate it, because QuickBooks marketing leads with the promotional price for the first three months.

Four alternatives and the reason each one answers
Xero answers the seat problem directly. Its US plans include unlimited users, and from October 1, 2026 they cost $27 for Early, $59 for Growing and $97 for Established. Early is capped at 20 invoices and 5 bills a month, so most teams that leave QuickBooks for seat reasons land on Growing. Multi-currency and project tracking sit in Established only. The trade off: Xero is ending its multi-organization discount, which matters for groups with several company files.
Zoho Books answers the budget problem. Its US tiers cost $15, $40, $60, $120 and $240 a month on annual billing, with 3, 5, 10, 10 and 15 users included, and extra users at $2.50 a month on annual billing. The free plan runs indefinitely while revenue stays below $50K a year. Every tier also caps annual invoices and bills, from 1,000 on the free plan to 100,000 at the top, which a busy retailer should check.
Digits answers the automation question. It runs AI bookkeeping and reconciliation continuously in every plan, connects to more than 12,000 banks and payroll providers, and costs $65 or $100 per business a month. It accepts only US entities, charges each business separately and still lists its Pro plan with budget tracking and custom reports as coming soon.
FreeAgent answers the UK case. QuickBooks is sold in the UK too, but FreeAgent prices by legal form rather than by feature tier and becomes free with certain UK business accounts. For a sole trader, the regular price is £19 a month; for a limited company, £33. The cards below summarize the four options in one view.

Filtering the bookkeeping field by region and company size
Beyond the four picks, our directory holds 58 tools whose main job is bookkeeping and receipt capture. The explorer below lets you narrow them by where the vendor is based and whether it serves only small businesses or also midsize ones. Each bar shows how many tools in your selection have a trait, and the line marks the value across the whole group.
Two findings help when leaving QuickBooks. The North American tools in the group all publish prices, but only some offer a free trial; Botkeeper prices per client entity and Docyt per property or location, which points to accounting firms and multi-site businesses. The European tools more often name EU hosting, which matters for subsidiaries in the EU. The wider list of bookkeeping tools includes secondary listings as well, 92 in total.

Germany: a German-language page is not a German ledger
Intuit lists Germany, Austria and Switzerland in its global country selector and runs a German-language QuickBooks page. On September 26, 2026 that page described the global product in German and named no DATEV export, no German charts of accounts SKR03 or SKR04 and no filing through ELSTER, the tax authority's portal. The price fields on the page showed no amounts.
For a German company this is a practical barrier. Most German small businesses hand their books to a tax advisor who works in DATEV. German VAT law also changes the invoicing rules: under Section 14 UStG an e-invoice must be issued, sent and received in a structured format that follows EN 16931, and a PDF counts only as an other invoice. The transition rules in Section 27(38) UStG allow paper and PDF invoices until the end of 2026, and for companies with prior-year revenue up to €800,000 until the end of 2027.
A German subsidiary of a US group can still report into QuickBooks at group level. The local books, the VAT return and the annual accounts, however, usually run in a German program or at the tax advisor. Our review method explains how we check which markets a tool actually serves.
Leaving QuickBooks Online: timing and checks
QuickBooks Online has no annual contract; the pricing page says you can cancel anytime. The tighter constraint is your own calendar. Move at the start of a fiscal year or quarter, after the last period in QuickBooks is closed and reconciled, so that the opening balances in the new ledger match a finished period.
Plan for the renewal date as well. Because the August 2026 change applies at renewal, a company whose next renewal falls in the coming weeks can compare the new price with the alternatives before it takes effect. New customers from summer 2026 see the higher price from their seventh invoice. Use the alternatives' trials to run one real month in parallel: Xero, Digits and FreeAgent offer 30 days, Zoho Books 14 days.
