What is Prisma Schools?
Prisma Schools is management software for tutoring schools in Germany, from single tutors to multi-location institutes. It covers student records, scheduling, billing and parent portals, and uses AI to read and fill government forms for the German education voucher program.
The modular system includes digital student files with contracts, grades and attendance, a calendar with appointment booking and conflict detection, automated billing including the German education and participation benefit (Bildung und Teilhabe, BuT), and portals for parents and teachers. Prisma Schools GmbH is based in Paderborn and developed the product together with the state of North Rhine-Westphalia and Paderborn University. The vendor names more than 240 partner schools and hosts data on servers in Germany.
Prisma Schools AI features and use cases
- Reads government formsThe AI reads BuT applications and other government forms, including printed and ticked fields on multi-page forms, and recognizes all fields and required entries. It assigns each document to the right student by name, date of birth or case number, which removes manual data entry.
- Fills in forms from existing dataThe AI completes each field with data from the student record and calendar, such as attendance, hours taught and parent contact details. Office staff check a filled form instead of typing it.
- Processes forms in batchesThe system handles dozens of applications at once and can generate hundreds of attendance lists automatically. Empty required fields are marked red and sending is blocked until they are complete, which reduces rejected applications.
