AI assistant in HR software: Workday, SAP Joule, Oracle, HiBob, Rippling and Darwinbox compared
Most HR suites we checked now ship an AI assistant that answers employee questions, and Workday and Oracle go further with agents that complete transactions or move multi-step processes forward. The bigger differences are commercial: SAP includes Joule Base but sells premium AI in SAP AI Units, Oracle meters some AI through Fusion AI Units and a per-employee AI Agents service, HiBob says AI is included across its platform, and Workday meters its agents through Flex Credits. Few vendors publish which languages their assistant supports or which model processes prompts, so both belong on the demo checklist.
- Workday's Sana Self-Service Agent covers more than 300 skills across pay, time and absence and is metered through Flex Credits: 1 credit per information request, 5 per completed task.
- Oracle made 8 agentic applications available in Fusion Cloud HCM on April 9, 2026; AI Agent Studio costs nothing extra, but Oracle's price metrics now include Fusion AI Units and an AI Agents service per hosted employee.
- SAP includes Joule Base and sells premium AI in SAP AI Units; its May 2026 announcement of Joule assistants for payroll, HR service and recruiting gives no release date per assistant.
- SmartHR's AI assistant passed 900 adopting companies in Japan within a year, and Beisen in China reported AI contract value above RMB 87 million for fiscal 2026.

An AI assistant in HR software is now a standard line on most suites' product pages, but the assistants behind that line differ a lot. Some answer policy questions, some complete self-service transactions, and a few move multi-step processes such as payroll preparation forward on their own. This comparison covers what the assistants in Workday, SAP SuccessFactors, Oracle Fusion Cloud HCM, HiBob, Rippling and Darwinbox, plus suites from India, Japan, China, Spain, Saudi Arabia and Indonesia, can do today, how the AI is priced, and how to test it in a demo.
We checked each vendor's product pages, press releases and help centers on September 24, 2026, and used reputable press where a vendor's own pages could not be checked. A feature counts here only when the vendor describes it as available; announced and early-access features are labeled as such. ai-toolfinder is independent, and none of these vendors pays us.
Workday, SAP, Oracle and Dayforce: agents inside the enterprise suites
Workday introduced Sana from Workday on March 17, 2026, and made 3 offerings available: Sana for Workday, a conversational interface to the suite, the Sana Self-Service Agent, and Sana Enterprise, which also reaches connected tools such as Slack, Salesforce and ServiceNow. The Self-Service Agent covers more than 300 skills across pay, time and absence. Since May 13, 2026, it has also been generally available inside Microsoft 365 Copilot for eligible customers, where employees can check leave balances, view payslips and request time off, and managers can approve timesheets or start performance reviews. Workday also lists a Payroll Agent as available.
SAP SuccessFactors builds its assistants on Joule. SAP's first-half 2026 release says a network of AI agents now supports recruiting, workforce administration, payroll, learning, performance and talent development, and in May 2026 SAP described Joule assistants for payroll, core HR, time, recruiting, onboarding and HR service. The Payroll Assistant coordinates several Joule agents to prepare payroll runs and flag issues early, and the HR Service Assistant resolves common questions and points employees to the next step. The May announcement gives no release date per assistant, so ask which ones run in your release and data center.
Oracle made 8 agentic applications available in Fusion Cloud HCM on April 9, 2026, among them My Help Workspace for Employees, Manager Concierge Workspace and Workforce Operations Command Center. According to Oracle, they run on Oracle Cloud Infrastructure, move routine work forward within set guardrails and surface the decisions where human judgment changes the outcome. In August 2026 Oracle added 13 capabilities for talent management, including a Job Architect Agent and an Intelligent Talent Profiles Agent, and customers can build their own agents in AI Agent Studio. Oracle's HCM documentation lists dozens of AI agents by quarterly update, from a Time-off Assistant in update 26A to a Pay Analyst and a Job Applicant Screening Advisor.
Dayforce describes an AI assistant that helps employees and managers find answers and complete tasks, and AI agents that automate work across HR, payroll, time, talent and analytics, such as time-off requests. Its AI page gives no availability dates, pricing or language list, so those questions go to the sales team.

HiBob and Rippling: assistants for the midmarket
HiBob calls its AI layer Bob AI and its conversational interface Bob Companion. According to HiBob, Bob Companion drafts performance reviews from goals and history, writes job descriptions, summarizes survey responses, builds reports from plain-language requests, prepares managers for one-on-ones and answers employee questions on policies, payroll and benefits.
HiBob's hosted MCP server lets outside AI clients such as Claude Desktop or Cursor look up and update employee records, check and request time off and view tasks. Access runs through a single Bob service user, so the client sees exactly what that user may see, and employee-level login through OAuth is not supported yet, which makes it a tool for HR and IT teams rather than for employee self-service.
Rippling's own pages could not be checked for this article, so this part relies on TechCrunch. When Rippling launched its Data Cloud in June 2026, which builds dashboards from plain-language requests and combines HR data with other business systems, TechCrunch reported that the base product comes bundled with Rippling AI and that heavier users pay usage-based charges. Rippling's AI Spend Console, which tracks what employees spend on AI tools, is included for its HR customers with additional usage-based AI costs, according to a second TechCrunch report.
Our directory also lists Personio, but we could not verify its current AI features and AI pricing at the source on September 24, 2026, so it is left out here. We will add it once we can check the vendor's own pages.

Regional suites: Darwinbox, SmartHR, Beisen, Factorial, Jisr and Talenta
Darwinbox lists 2 assistants in its mobile app: the AI Super Agent, which handles tasks across HR, IT and finance, from raising tickets to finding answers, and Darwinbox Sense, which gives managers and admins answers, insights and predictive analytics on request. The app covers 20 languages, from Hindi and Tamil to Arabic, Indonesian and Vietnamese. Darwinbox Cortex, which the company calls the next generation of its HCM, is still in early access.
In Japan, SmartHR launched an AI assistant in its employee portal in July 2025, and within a year more than 900 companies had adopted it and it had given more than 150,000 automated answers, according to SmartHR. The same July 2026 release announced an agent that carries out back-office tasks inside SmartHR and an AI HR business partner, both without a launch date.
Beisen in China unveiled Mavens on September 7, 2026, a platform of more than 15 AI HR experts such as an AI Recruiter and an AI Interviewer, and said its AI products generated more than RMB 87 million in contract value in fiscal 2026, 10 times the year before. Factorial, which runs its central office in Barcelona, offers an agent called One that answers questions from company policies and documents, co-creates surveys, reports and job descriptions and analyzes uploaded files, and customers switch it on through their account manager.
In Saudi Arabia and Indonesia, the AI sits closer to recruiting and reporting. Jisr, which says it serves more than 5,000 HR and finance teams in Saudi Arabia, uses AI in its applicant tracking to parse CVs, highlight them and rank candidates, and Mekari Talenta in Jakarta offers Talenta AI with an insight chatbot, CV scoring and dashboards on data such as turnover. Both features score or rank people, so ask how recruiters can see and override the scores.
Announced, in early access or missing: what to discount in a pitch
Several features in current sales decks are not generally available yet. Darwinbox Cortex and Workday's Performance Agent and Job Architecture Agent are in early access, SmartHR's back-office agent and AI HR business partner were announced without a launch date, and Workday said more Sana Enterprise integrations would follow later in 2026. Workday's EU Sovereign Cloud was announced for European customers in 2026, so confirm its status for your tenant before relying on it.
Other gaps are structural. HiBob's MCP server does not yet support employee-level login, SAP's May 2026 announcement gives no release date per Joule assistant, and neither Workday's Flex Credits page nor SAP's support note on AI Units states a price per credit or unit. Ask vendors to mark every roadmap item in the offer with a date and to leave it out of the price until it ships.
Pricing: included, metered or on request
The larger differences sit in how the AI is paid for, and vendors say less about that than about features. SAP includes Joule Base at no additional cost, with a yearly allocation of Joule messages based on the number of licensed active users that resets each term, and sells premium AI capabilities in SAP AI Units. Oracle offers AI Agent Studio at no additional cost, but its metric descriptions of August 26, 2026, add an Oracle Fusion AI Agents Cloud Service measured per hosted employee and pooled Fusion AI Units for certain AI services. HiBob's FAQ says AI capabilities are included across its platform.
Workday meters AI through Flex Credits, which customers buy in bulk each year and apply across Workday's agents, Sana and its Data Cloud. For the Self-Service Agent, an information request costs 1 credit and a completed task 5 credits; each subscription includes a yearly allocation sized by company, but Workday does not publish a price per credit. Factorial's One uses AI credits for image generation, and Rippling adds usage-based AI charges to its bundles, according to TechCrunch.
Per-action metering changes the budgeting logic. At Workday's published rates, 1,000 completed self-service tasks use as many credits as 5,000 information requests, so an assistant that does more work also costs more to run.
Prices themselves stay hidden across the category: 71 percent of the 35 HR suites in our directory quote only on request. Ask each vendor to price your expected volume of AI questions and actions for the first and the third contract year, in addition to the license.

Languages and where the data is processed
Few vendors publish which languages their assistant speaks. Workday lists 40 languages for its product in release 2026R2 but no separate list for Sana, Factorial offers its platform in 15 language options, 3 of them in beta, without a list for One, and the Darwinbox app covers 20 languages. Mekari Talenta's site runs in Bahasa Indonesia, English, Japanese and Chinese without saying which of these its chatbot understands. The SAP, Oracle and HiBob pages we read did not name the languages of their assistants, so test each language your workforce uses.
Statements on data processing vary more. Factorial says One runs on Microsoft Azure OpenAI hosted in Sweden, that it does not train models on customer data and that prompts and responses are not stored. HiBob says Bob processes AI inputs once without storing or logging them, does not use customer information to train external models and lets admins opt out of its AI features. Workday says that in its Microsoft 365 Copilot integration the underlying data and transactions stay in Workday, and Oracle runs its agentic applications on Oracle Cloud Infrastructure.
For EU residency, Workday announced an EU Sovereign Cloud in November 2025 in which customer data, including AI processing, stays in the EU under EU-based staff, with availability for European customers planned for 2026. SAP's support note on Joule in SuccessFactors says Joule has been available in selected data centers since November 17, 2023, with no confirmed timeline for the others, so check your data center first. Model providers can also change during a contract: Rippling's CEO told TechCrunch in June 2026 that the company had moved much of its AI work from Anthropic to OpenAI. Among the HR suites with AI in our directory, 15 can host data in the EU and 5 list an ISO/IEC 42001 certificate for AI management.

How to test an AI assistant in HR software during a demo
A demo on the vendor's sample data shows the best case. Ask for a sandbox with a copy of 2 or 3 of your own policies and a few anonymized employee records, and run the same script with every vendor. Send the script ahead so the vendor can configure the sandbox, and keep the questions identical so the results compare.
Score each test as pass or fail and keep screenshots, because the answers can go into the contract's service description. Features that screen or rank candidates, such as Oracle's Job Applicant Screening Advisor or Jisr's candidate ranking, are high-risk under the EU AI Act when used for jobs in the EU, with duties from December 2, 2027, as our EU AI Act guide for HR teams explains.
Bring the people who will use the assistant into the demo. A payroll specialist spots a wrong answer on tax withholding faster than a project lead does, and employee representatives, where they exist, can see early what the assistant records about staff.
- Ask what the assistant must refuseLog in as an employee and ask for a colleague's salary. Workday says Sana's answers follow each organization's role-based permissions; check that claim and the same limit in every other suite.
- Complete a real transactionRequest time off or change an address through the assistant, then check that the usual approval chain runs and the change appears in the audit trail.
- Test your policies, not the vendor'sAsk questions whose answers sit in footnotes or exceptions of your own documents, and note every wrong or invented answer.
- Switch languagesRepeat the same questions in each language your workforce uses, including a question that mixes 2 languages.
- Get the data terms in writingAsk for the model provider, hosting region, prompt retention and training rules, and what happens if the provider changes during the contract.
- Price the volumeFor metered AI, have the vendor estimate credits for your expected monthly questions and transactions, and ask what happens when the allocation runs out.
- Find the off switchCheck whether admins can turn AI features off, as HiBob says its admins can, and how long the logs of AI actions are kept.

Which HR software has the best AI assistant?
There is no single winner, because the assistants solve different problems. Workday and Oracle describe agents that complete transactions or move multi-step processes forward, SAP centers its Joule assistants on payroll, HR service, recruiting and onboarding, and HiBob and Factorial emphasize answers, drafts and analysis inside the platform. The better fit depends on your core system, your workforce's languages and how the AI is billed.
Is the AI assistant included in the HR software subscription?
It depends on the vendor and the feature. SAP includes Joule Base but sells premium AI in SAP AI Units, Oracle offers AI Agent Studio at no additional cost while metering some AI services in Fusion AI Units, and HiBob says AI capabilities are included across its platform. Workday meters its agents and Sana through Flex Credits, with a yearly allocation included in each subscription, so ask for the price of extra credits before you sign.
Can an HR AI assistant show salary data to the wrong person?
It should not, and a demo is the place to test it. Workday says Sana's answers follow each organization's role-based permissions, and HiBob's MCP server can only see what its service user is allowed to see. Log in as different roles and ask for data outside each role.
Where does my HR data go when I use the AI assistant?
That varies by vendor and is rarely on the product page. Factorial names Microsoft Azure OpenAI hosted in Sweden, HiBob says it does not store AI inputs or train external models on customer data, and Oracle runs its agentic applications on Oracle Cloud Infrastructure. Ask every vendor for the model provider, hosting region and retention period in writing.
Are HR AI assistants high-risk under the EU AI Act?
An assistant that answers policy questions is not high-risk on its own, although under Article 50 it has to tell people they are talking to an AI unless that is obvious. Features that screen or rank candidates or evaluate workers fall under Annex III and carry high-risk duties from December 2, 2027.
