Zendesk alternatives: 12 tools compared (October 2026)

12 tools that do the same job as Zendesk. First a shortlist by situation, then prices, contract terms and switching costs, with all 12 in the table at the end.

Freshdesk is the closest like-for-like replacement for a ticket-centered team, Help Scout fits small teams that want a free start, and Front fits shared inboxes. Dixa fits phone-heavy teams that want European hosting, and Fin by Intercom can replace only the AI layer on top of Zendesk. Teams that want control over the software can look at Zammad, which is open source.

At a glance
  • Zendesk's standard terms make charges non-cancelable, bar seat reductions during a term and renew automatically at then-current rates unless notice arrives 30 days before the end.
  • Zendesk bills AI agents per automated resolution at 1.50 euros committed or 2.00 euros pay as you go beyond 5 to 10 included per agent. Help Scout charges 0.75 dollars, Fin 0.99 dollars per outcome and Dixa 0.35 euros per conversation.
  • Zendesk account exports are off by default, AI agent tickets cannot be exported, and deletion of service data starts 90 days after cancellation.
  • Of 61 tools in our customer service category, 26 price on request and 21 name an EU hosting option.
  • Zammad offers a hosted version with a data center in Germany from 7 euros per agent per month, and Help Scout hosts only in the United States.

Zendesk is built for support teams from a handful of agents to enterprises: ticketing and email, messaging and live chat, voice, a help center and a growing set of AI features. Teams look for alternatives for reasons that can be traced in Zendesk's own documents: a price list in which the AI features sit in higher plans and add-ons, an AI bill that follows volume, contract terms that fix seats and renewals, and exports that have to be switched on.

This page does not rank vendors. It sets the Zendesk terms next to five alternatives from our directory and one open source option, sorted by the situation that made you look. Every vendor fact comes from the vendor's own pricing page, contract, help center or a dated press release, read on October 2, 2026. Comparison sites and review blogs are not used as sources, and no vendor paid for a mention. The table of all alternatives, the comparison and the data FAQ follow below the article.

Shortlist: which Zendesk alternative fits which situation

Freshdesk

Fits teams that want the same ticket-centered shape. Plans cost 19, 55 and 89 dollars per agent per month billed annually, 500 AI sessions are included, and five data center regions are listed.

Help Scout

Fits small teams that work from a shared inbox. A free plan covers 5 users, AI Answers costs 0.75 dollars per resolution, and the product is hosted in the United States only.

Front

Fits teams that collaborate on shared inboxes. Starter costs 25 dollars per seat, SSO and SCIM start in Professional, and customers pick the United States or the EEA as hosting region.

Fin

Fits teams that want to replace only the AI layer. Fin costs 0.99 dollars per outcome with no seat costs on another helpdesk, and its help center describes a sync of Zendesk help center articles.

Dixa

Fits phone-heavy teams that want European hosting. Plans start at 89 euros per agent per month billed annually with the contact center included, data sits on Amazon servers in Ireland, and rollouts are guided.

Why Zendesk customers start looking: what changed since 2022

Zendesk is a customer service platform for ticketing, messaging, voice and help centers that sells to teams from a few agents to enterprises. It has been privately held since November 22, 2022, when a consortium led by Hellman & Friedman and Permira completed its acquisition at a value of about $10.2 billion. The company is still headquartered in San Francisco. Since then the product has grown mainly through acquisitions and AI. Unleash followed on December 18, 2025 for employee service. Forethought was announced on March 11, 2026 and closed on March 26, 2026, and at its Relate conference on May 19, 2026 Zendesk presented a roadmap it calls the Autonomous Service Workforce. On September 14, 2026 it introduced Specialized AI Agents, with commerce first.

None of this is a reason to leave. It explains what a buyer sees on the pricing page. The base plans are ticketing products at a published price: Support Team costs 19 euros per agent per month billed annually, Suite Team 55 euros and Suite Professional 115 euros, with Enterprise on request. The AI story sits in the higher plans or on top. AI Agents start in Suite Team, Admin Copilot and the App Builder in Suite Professional, the Copilot for human agents costs another 50 euros per agent per month, quality assurance needs its own add-on, and automated resolutions beyond the included amount cost 1.50 or 2.00 euros each. Our comparison of Zendesk and Freshdesk sets both price lists side by side. This page asks the next question: what to do when the answer is no.

Three limits show up most clearly in Zendesk's own documents. The first is the AI bill, which follows a volume you cannot fix in advance. The second is the contract: charges are non-cancelable, seats cannot be reduced during a term, and renewals can run at current rates. The third is the exit: exports are off by default, AI agent tickets cannot be exported, and deletion starts 90 days after cancellation. The sections below take them in that order and then match alternatives to situations. Some of Zendesk's newest items are marked early access in its own announcement, so judge the product by what is generally available today, not by the roadmap.

What the Zendesk contract says about changing course

Zendesk's Main Services Agreement is a public document, so the exit terms can be read before a renewal. Section 4.2 says that charges are non-cancelable and non-refundable except where the agreement states otherwise. A customer cannot downgrade its plan or reduce the pricing metric, such as the number of agents, during a subscription term. For a smaller number in the next term the customer has to give 30 days' written notice before the current term ends and remove or deactivate the affected agents beforehand. Otherwise the subscription renews at its existing levels.

Section 7.2 covers renewals. Unless either party gives at least 30 days' written notice that it will not renew, or the order form states otherwise, the subscription term renews automatically for an equivalent term and Zendesk may apply then-current rates. The notice goes by email to an address at Zendesk that the agreement names. The qualifier matters: an order form can say otherwise, so customers with a sales-assisted contract should read their own document and not the standard terms. The practical result is a calendar. The date 30 days before renewal is the last day to reduce, cancel or renegotiate, and a team that wants to trial an alternative in parallel has to start well before it.

Leaving also means getting the data out. Zendesk's help center says that account data exports to JSON, CSV or XML are not enabled by default: the account owner must ask Zendesk Support to switch them on. The export tools are not available on Team plans, although the REST API works on all plans. The same article states that AI agent tickets cannot be exported, so a team that has relied on the AI agent should keep its own record of what the agent handled. The download link is valid for at least three days.

After cancellation the deletion policy starts an automated deletion of service data 90 days after the account is canceled or terminated. Once it has started it cannot be reversed. That window is long enough for a careful migration, but it is a deadline. Run the final export before the term ends, verify the files, and keep them for your own records.

AI billing: per resolution, per conversation, per outcome

Customer service AI is sold in three units, and the unit decides who carries the risk of volume. Zendesk bills per automated resolution: a conversation that the AI agent resolved without a human, verified by a language model, and counted once the conversation has ended. The help center sets that moment at 72 hours for email, 2 hours by default for messaging and immediately for voice. Each agent seat includes 5 resolutions per month on Support Team and Suite Team and 10 on Suite Professional. Beyond that, a committed block costs 1.50 euros per resolution and pay as you go costs 2.00 euros. The help center adds that overage is billed monthly regardless of the subscription term, that allotments expire at the end of the year or the term, whichever is shorter, and it names a maximum of 10,000 automated resolutions per year across all plans.

One setting deserves attention. For accounts on the older automated resolution platform, the help center says the default when the limit is reached is to keep the AI agent running and bill pay as you go overage. The account owner can switch to pausing the AI agent instead, at the price that more requests go to live agents. Check which platform your account is on and which setting is active before a busy season.

The alternatives use other units. Help Scout charges 0.75 dollars per resolution and counts a conversation only if the customer received an AI answer and did not escalate, search the knowledge base, ask more questions or say they need more help. The first three months are free. Fin by Intercom charges 0.99 dollars per outcome and can run on top of another helpdesk without seat costs, with a minimum of 50 outcomes a month. Freshdesk sells Freddy AI Agent sessions, with the first 500 included and 49 dollars per further 100. Dixa bills its AI agent Mim at 0.35 euros per conversation, whether the AI resolves it or hands it to a person, with no per-seat part and no cap. Front lists its Autopilot from 0.05 dollars per conversation, and Zammad charges 0.03 euros per AI call.

Per-resolution pricing pays only for success, but it depends on how the vendor defines success. Per-conversation pricing is predictable but bills conversations the AI did not solve. A worked example from list prices shows the spread. A team of 10 agents on Zendesk Suite Team has 50 resolutions a month included. If the AI agent resolves 400 conversations in a month, 350 are billable: 525 euros at the committed rate or 700 euros pay as you go, against 550 euros for the ten seats. If the same 400 resolutions came out of 1,000 AI-handled conversations at Dixa's rate, the AI line would be 350 euros. The comparison ignores seat prices, plan features and the quality of hand-overs, and the figures are our own arithmetic from list prices, not a quote.

What seats cost, and what the cheap plan leaves out

Seat prices are the part every vendor publishes, and they are easy to misread. Zendesk's entry plan Support Team costs 19 euros per agent per month billed annually, or 25 euros billed monthly. It covers email ticketing, routing, dashboards, canned replies, customer context and automations. Messaging, live chat, phone, the AI agents and the knowledge base start in Suite Team at 55 euros. For a team that bought Zendesk for its AI and messaging, the realistic comparison is therefore the 55 or 115 euro plan, plus 50 euros for Copilot where it is wanted.

The calculator below uses the euro list prices of the vendors that publish in euros: Zendesk, Dixa and Zammad. Dixa Growth, 89 euros per agent per month billed annually, includes the contact center with phone, IVR and call recording and the AI agent Mim, whose conversations are billed separately. Dixa's own pricing page argues that its bundle costs less than Zendesk once phone and Copilot are added, listing 128 euros against 165 euros per seat on Zendesk prices of June 30, 2026. That is a vendor's comparison built on its own choice of plans. Treat it as a hypothesis to test in a quote, not as a result.

Zammad is a different kind of alternative. It is open source under the GNU AGPL v3 and sells a hosted version with a data center in Germany at 7, 16 and 25 euros per agent per month billed annually (9, 18 and 27 euros monthly), excluding VAT. Starter v2 is limited to 5 agents and lists email, web form and SMS. Professional v2, limited to 35 agents, adds chat, Telegram, SLAs and a knowledge base. Plus v2 has no agent limit and adds phone support, WhatsApp, Facebook and a multilingual knowledge base. The software can also run on your own servers, in which case Zammad's support packages start at 2,999 euros a year and updates, backups and availability are your job.

Help Scout lists 25, 45 and 75 dollars per user per month and a free plan for 5 users. Front lists 25, 65 and 105 dollars per seat, and Intercom's helpdesk with Fin 29, 85 and 132 dollars. Freshdesk lists 19, 55 and 89 dollars. Intercom bills in US dollars only, so a European buyer carries the exchange rate and, depending on the contract, the VAT treatment.

Which alternative fits which situation

The right replacement depends on which limit made you look. A team that mainly wants a different AI bill can leave the helpdesk where it is. A team that mainly wants different contract terms has to move the helpdesk. The paragraphs below follow that split.

Freshdesk is the closest in shape to a ticket-centered Zendesk plan: ticketing, shared inbox, customer portal and knowledge base from 19 dollars per agent per month billed annually, then 55 and 89 dollars. Freddy AI Agent includes 500 sessions, and further sessions cost 49 dollars per 100. Copilot costs 29 dollars per agent per month from the Pro plan. Freshdesk's support site lists five data center regions, and a trial runs 14 days. The weaker side is the same as Zendesk's: AI is metered, and the stronger features are in the higher plans.

Help Scout suits small teams that want to work from an email-style inbox. It has a free plan for 5 users, paid plans from 25 dollars per user, and AI Answers at 0.75 dollars per resolution with a three-month free trial. SSO and SAML arrive only in the Pro plan at 75 dollars, which starts at 10 users, and the product is hosted in the United States only. That fits a team without a European hosting requirement. It does not fit one with such a requirement.

Front targets teams that collaborate on shared inboxes. Starter costs 25 dollars per seat for up to 10 seats, Professional 65 dollars for up to 50 seats with SSO and SCIM, and Enterprise 105 dollars with Copilot, Smart QA and Smart CSAT included. Customers can pick the United States or the EEA as primary hosting region through their account contact or support. Copilot and Smart QA cost 20 dollars per seat each as add-ons below Enterprise.

Fin by Intercom is the one option that does not need a helpdesk change. Fin works on top of Zendesk tickets and messaging, and Fin's help center describes an hourly sync of your Zendesk help center articles. It costs 0.99 dollars per outcome with a minimum of 50 outcomes a month and no seat costs on another helpdesk. Customers can choose the United States, the EU or Australia as data region. A region cannot be migrated directly: a new workspace is needed. Because Fin's outcome definition differs from Zendesk's, run both on the same sample before comparing prices.

Dixa describes itself as built for consumer brands where phone, chat, email and social run as one conversation. Plans cost 89, 139 and 179 euros per agent per month billed annually, and the contact center is in every plan. It stores customer data on Amazon servers in Ireland. Dixa offers no self-serve trial: every rollout is guided, and most teams are live in 2 to 4 weeks, by its own account. That is a plus for a team that wants help, and a minus for one that wants to test alone over a weekend.

Zammad fits teams that want control over the software or a German data center. It is open source, the hosted plans are cheap, and the self-hosted route removes the vendor from the picture at the cost of running it yourself. The decision tree below turns these points into questions.

Hosting, works councils and AI disclosure

Where the data sits is the first question in German-speaking companies. Zendesk's trust center names data centers in the United States, Europe (EEA) and Asia-Pacific and says customers can choose where their data resides. Its pricing page lists the data center location as a choice between the United States, Asia-Pacific, the EEA and the United Kingdom, with certain restrictions, and the plan comparison shows it as an add-on. So hosting in the EEA is a purchase decision, not a default. Of the 61 tools in our customer service category, 21 name an EU hosting option. Among the 21 helpdesk tools, 12 do.

The switch below sorts the alternatives from the helpdesk niche by what their own pages say. The groups differ in effort: a region you choose needs a question at the quote stage, a fixed European location needs a look at the sub-processor list, and a United States only location needs contractual transfer terms and a decision from your data protection officer.

Two further rules touch any helpdesk change in Germany. Section 87 (1) no. 6 of the Works Constitution Act gives the works council a right of co-determination on the introduction and use of technical devices intended to monitor the behavior or performance of employees. Agent dashboards and automated quality scoring that evaluates every conversation can raise that question. Zendesk's announcement of Quality Score says it analyzes 100 percent of human and AI interactions. Whether a given feature falls under the provision is for your counsel and works council to say, but a new vendor with a different reporting set needs its own review.

The second rule is Article 50 (1) of the EU AI Act. It obliges providers of AI systems that interact directly with people to ensure that those people are informed that they are interacting with an AI system, unless that is obvious from the context. The Regulation applies from August 2, 2026 under Article 113, with exceptions for other chapters. Whether you or the vendor counts as the provider in your set-up depends on the contract. When you replace an AI agent, ask each vendor how its widget discloses the AI and whether you control the wording.

Hosting regions the vendors name

Switch between the three groups. Regions are what each vendor states on its own pages.

  • Zendesk: United States, Europe (EEA) and Asia-Pacific in the trust center; the pricing page also lists the United Kingdom and shows data center location as an add-on
  • Freshdesk: United States, EEA, United Arab Emirates, India or Australia
  • Front: United States or EEA, chosen through the account contact or support
  • Fin by Intercom: United States, EU or Australia; moving between regions means a new workspace

Ask which region applies by default and what it costs.

Planning the move, and the market behind it

Zendesk is one of 61 tools in our customer service category. Of these, 26 price on request, 11 charge per user and 13 by usage. 19 offer a free trial and 15 a free plan. The explorer filters the main customer service tools by niche and pricing model and shows which share names an EU hosting option, SOC 2, ISO/IEC 27001, ISO/IEC 42001, a free trial, a public price or single sign-on. Among the 21 helpdesk tools, 6 price on request.

The directory is a pointer and not proof. Where our entries differed from the vendor's page, we corrected them. Intercom's pricing page lists Essential at 29 dollars per seat while our entry said 19, and Zendesk's regions on our entry did not match its pricing page. Treat any number in a directory, ours included, as a lead to check on the vendor's page before a decision.

A switch has three phases. First, decide what has to change: the AI layer, the helpdesk or both. Fin on top of the existing helpdesk is the smallest step, and it leaves the question of renewal dates open, because the Zendesk seats keep running. Second, run the new tool in parallel on one queue or channel, with a small group comparing what each system does with the same conversations. Third, set the exit calendar from the contract: the notice date, the seat reduction, the export and the 90 day deletion window. The checklist collects these points with the legal ones. Rebuilding macros, triggers and automations takes time in any move, so plan that work before the date on which the old contract ends and not after it.

Questions about Zendesk alternatives

Can I cancel Zendesk in the middle of a term?

Under the standard terms, no. Charges are non-cancelable and non-refundable, and seats cannot be reduced during a term. A signed order form can state otherwise, so read yours. The term renews automatically unless notice of at least 30 days reaches Zendesk, and Zendesk may apply then-current rates at renewal.

Can I keep Zendesk and replace only the AI agent?

Fin by Intercom describes an integration with Zendesk tickets and messaging, an hourly sync of the Zendesk help center and pricing of 0.99 dollars per outcome without seat costs, with a minimum of 50 outcomes a month. The Zendesk seats and their term stay in place, so the contract questions remain.

Is there an open source alternative to Zendesk?

Zammad is open source under the GNU AGPL v3. Zendesk customers can run it on their own servers, with updates, backups and availability on their side, or use Zammad's hosted plans with a data center in Germany from 7 euros per agent per month billed annually, excluding VAT.

Which alternatives host customer data only in the United States?

Of the tools on this page, Help Scout states that it is hosted on AWS in the United States. Freshdesk, Front and Fin by Intercom offer a choice of regions, Dixa names Ireland, and Zammad's cloud uses a data center in Germany.

What is the best alternative to Zendesk?

It depends on your country and company size. In our data, Tidio, Fin and Freshdesk share the most strong markets with Zendesk, so they are the closest fit if you work where Zendesk is strong. Filter the list by country and size to narrow it down.

Is there a free alternative to Zendesk?

Tidio, Fin, Freshdesk, Freshservice and Front offer a free plan or a free trial according to the vendors. Check the limits of free plans before you rely on them for employee data.

Which Zendesk alternatives can host data in the EU?

Tidio, Fin, Freshdesk, Freshservice, Front and MaestroQA can store customer data in the EU, according to the vendors. Ask for the data processing agreement (Art. 28 GDPR) and the list of subprocessors.
